Assistant Business Manager

We are looking to hire a full-time Assistant Business Manager to work in our Business Office. This person will assist and report to the Director of Finance.

Essential Duties and Responsibilities:

Assists in the development and implementation of goals, policies, priorities, and procedures relating to financial management, cash management, budget, accounting, and payroll.
Participates in the preparation of various financial statements and reports, including bank reconciliations, and operating account reconciliations as directed by the director of finance.
Compiles and maintains accounts payable records, including answering all vendor questions, entering vendor invoices into the accounting system, preparing accounts payable checks, preparing all accounts payable reports, maintaining all accounts payable files, assisting in monthly closings, and assisting with special projects as necessary.
Compiles payroll data to maintain payroll records and answers employees’ questions and records employee enrollment in benefit programs, including payroll updating and processing, maintaining employee personnel files.
Records payments to accounts and maintains accounts receivable records, including setting up new customer accounts, assisting in the preparation of student billing, entering cash receipts and updating accounts receivable accounts, preparation and mailing of statements for accounts, researching and processing of customer claims of payment, researching and processing credits and bad checks, responding to accounts receivable phone inquiries and follow up, calling and monitoring correspondence to customers regularly and as necessary in order to update accounts, and keep accounts current.
Work with the development department in both the monthly and annual reconciliation of all annual fund, capital campaign, and restricted gifts received or pledged.
Assist with the preparation of year-end closing entries such as inventory, prepaid accounts, maintenance accounts, legal and professional fees, restricted funds, and fixed assets.
Assist with certain auxiliary functions handled by the business office including, driver education, recording and monitoring of time off by all personnel of the School, immersion accounts, sports camps and summer scholars, and facility rentals.
Assist with special projects as necessary such as utility history for NYSERDA and other grant funding, monthly department budget reports, month-end, and audit preparations.

Preferred Skills and Qualifications:

BS, Accounting or other related field; preference for 2+ years nonprofit experience
Ability to work independently
Ability to work on multiple projects simultaneously
Proficient in Microsoft Office software, especially Excel
Proficient in QuickBooks
Ability to project a professional, friendly and positive attitude
Advanced analytical, communications and presentation skills
Ability to maintain confidential information
